Position Summary

Acts as the first point of contact within the college for students, faculty, staff and the general public. Provides administrative support and services to the college in an effort to ensure the effective operations of departments, programs and office functions. Performs all duties in full support of the University’s brand, understanding that the positive and effective execution of these duties are instrumental to the University of Hartford’s core business – the education of students.

Key Responsibility
Description of Key Responsibility

Provides administrative support and services to the college in an effort to ensure the effective operations of academic programs and office functions. Coordinates the administration of course evaluations, program assessments, faculty classifications, and surveys. Assists faculty with class materials including, but not limited to, course syllabi, Blackboard postings and other correspondence for students as necessary and appropriate. Coordinates textbook orders on behalf of faculty.

Maintains financial and budgetary records for the college. Prepares a variety of budget analyses and reports for review. Prepares and processes work orders, requisitions, payments, Personnel Action Forms (PAFs), Rosters and Contracts as necessary and appropriate. Utilizes the BANNER system to track budget expenses and research information. Monitors purchase card (PCard) transactions in an effort to assist with proper tracking and reporting of expenses.

Assists the college in the coordination and execution of events for the respective academic deparments including, but not limited to, receptions, conferences and faculty meetings. Ensures logistics of set-up and programming for scheduled events are handled timely, accurately and within assigned budgetary constraints.

Assists college staff and faculty with academic program marketing in an effort to drive an increase in enrollment and retention within academic programs. Prepares marketing materials for prospective and current students, faculty and staff as appropriate. Ensures all materials adhere to University branding initiatives and standards. Works with the Office of Marketing and Communication as appropriate.

Serves as a resource to graduate and undergraduate students regarding general academic program guidelines. Assists with development, maintenance, and distribution of academic program materials in electronic and hard-copy formats. Refers students to faculty and Academic Services for academic program requirements and questions, student concerns and semester course advising. Acts as a liaison between faculty and students as appropriate.

Maintains a comprehensive filing system for each academic department in an effort to ensure easy retrieval of information by faculty and staff. Ensures departmental supplies are ordered as necessary and within budgetary guidelines for effective office operations. Opens, sorts and distributes department mail.

Complexity

Varied: Work is complex and varied and requires the selection and application of technical and detailed guidelines. Problems are not easy to identify, but are similar to those seen before. Moderate analytic ability is needed to gather and interpret data where results/answers can be found after analysis of several facts. Solutions can often be found by using methods chosen before in other situations.

Decision Making

Varied. Supervisor is available on an “as-needed” basis to establish general objectives and to identify potential resources for assistance. Independent judgement is required to select and apply the most appropriate of available guidelines and procedures to achieve desired results.

Internal Communication

Requires regular contacts to discuss issues of moderate importance and to respond to inquiries. Occasionally requires contact with officials at higher levels on matters requiring cooperation, explanation and persuasion.

Requires occasional contact with outside agencies and the general public supplying or gathering factual information.

Advanced Skills: Able to read reference material and obtain information. Prepares letters and/or reports, following policies and procedures. Able to operate various standard office machines.
