Position Summary

Assumes responsibility for the administrative oversight of financial and budgetary operations of the University of Hartford’s Division I Department of Athletics, overseeing the Business Office, Ticket Office and Equipment Room. Serves as a member of the Department of Athletics senior management team. Assumes responsibility for adherence to rules and regulations governing University, America East, Big Sky and the NCAA, including assisting in the education process extended to alumni and the community. Establishes, cultivates and maintains effective working relationships with various internal constituents in an effort to ensure effective Athletics business and financial operations as well as compliance with University policies and procedures. Performs all duties in full support of the University’s mission, understanding that the positive and effective execution of these duties are instrumental to the education of the University’s students.

Working in collaboration with the Athletics Director, develops and implements short- and long-term financial plans. Provides financial expertise in an effort to accomplish departmental fiscal and programmatic goals and objectives by developing and overseeing the Department of Athletics business and associated financial operations, including budgets assigned to Division I sports programs and Sport Center facility operations. Plans, oversees and monitors associated Athletics budgets, detailing revenues and expenditures, analyzing results by specific sport or activity as necessary and/or appropriate. Reviews projections and actual operating results, monitoring fiscal controls and accountability to maintain prudent fiscal oversight and adherence to University policies and procedures. Works closely with the Budget Office in all fiscal oversight operations. Serves as primary liaison to Human Resources Development on appropriate personnel matters. *

Prepares financial reports designed to effectively inform Athletics operational decisions. Develops and adheres to annual fiscal calendar noting deadlines for completing key financial reporting and compliance efforts. Prepares and reports annual financial statements (EADA and the NCAA Financial Report) for approval by senior officials in compliance with NCAA financial audit guidelines. Represents the Department of Athletics with internal and external auditors during the annual audit process. *

Develops and implements clear business policies and procedures for Athletics administration, coaches and staff. Participates in administrative staff meetings to assist with the development and effective operations of the department. Represents the Department of Athletics and/or the University on various internal and external committees as well as at conferences and NCAA events as necessary. Supports fundraising, promotional and public relations activities and events for the Department of Athletics.

Serves as a program manager to assigned men’s and women’s sport program(s). Directs and/or supports decisions aimed at success of the programs while facilitating a positive learning environment for the student-athletes and coaches through on-going guidance and feedback. Supports institutional enrollment and retention goals for students, collaborating campus-wide to provide personalized attention to students which creates intentional, student-centered pathways and programs that manifest a holistic approach to the college experience and empower our students to reach higher levels of personal success. *

Serves as the primary point of contact for all Athletic contracts, agreements and memorandums of understanding. Working closely with the Office of the General Counsel, establishes and negotiates with corporate sponsors, as well as other Department of Athletics contracts and agreements. In collaboration with the Senior Associate AD for Facilities, provides fiscal oversight of facilities rentals, associated revenues and expenditures, enforcing institutional protocols and contractual requirements in compliance with established guidelines and/or policies.

Contact with customers involves providing service in person to resolve serious complaints, maintain key relationships, make significant adjustments, handle high profile meetings and/or deal with very delicate/sensitive relations.

Responsible for making recommendations within a department in the areas of compensation, staff selection, disciplinary action, complaints, staff performance appraisal, and similar supervisory duties. Plan, assign, and evaluate the work of subordinates for effective operation and results.

This level of skill is typically reserved for an individual with a four-year degree or a high level of vocational skill demonstrated by a number of years of on-the-job experience.
